Email Automation is a very effective way of nurturing and converting leads to customers, but placing an email to the leads at an appropriate time is very important and that cannot be properly handled manually. There are four kind of workflow trigger available in Fusionmint using which one can schedule automate emails and they are:

1. Triggers immediately when an item event create, update takes place:


While using this trigger the workflow gets executed whenever and an item is created or updated provided that the filter condition of the workflow matches. Once a flow is executed for an item it will never execute again for the same item, even when any change and update is made in future. While applying this trigger following things are required.

  • Workflow should be created  with filter/ filters conditions on the basis of which you want the workflow to get trigger.
  • Select option "Immediately on app item events like create, update" from trigger setting.
  • Workflow should be published.
  • If the workflow is saved as draft, publish or start the workflow to make it active.

       

When to use this trigger ?


Scenario: 

Say you are using contact app and a lead score field to qualify the lead to be sales ready. With every favorable step (showing interest in your business by visiting your website, downloading your content etc ) the customer do towards sales, you add 10 points to the contact lead score. When the lead score become 50 you want an email to be sent to the customer to nurture (sending early bird offers, discount coupons etc, telling merits of using your product or services) them further. So when a contact's lead score reaches 50 either by item create or by update an email will be sent, provided that you add filter to lead score equals to 50. 2. Triggers after waiting and monitoring the item for specific values:


While using this trigger the workflow gets executed when a specific values meets the filter condition after waiting and monitoring that specific values over the period of time. Once a flow is executed for an item it will never execute again for the same item, even when any change and update is made in future. While applying this trigger following things are required.

  • Workflow should be created with filter/filters conditions on the basis of which you want the workflow to get triggered.
  • Select option "Wait and monitor app items for specific values" from trigger setting.
  • Save the workflow and get it published.
  • If the workflow is saved as draft, publish or start the workflow to make it active.


When to use this trigger ?


Scenario: 

You want an email to be send to the customers automatically when a customer does not contact you for more than 7 days. Say you are using contact app and have a field last contacted in the app which stores the last contact date of the customers, now for email workflow to be triggered, create a workflow and select the appropriate filters (as in the video below). After 7 days of last contact, an email will be sent.




3. Triggers only once for an app:


This workflow gets triggered for all the items present in an app. Just create the workflow template, save and get it published. Once the workflow is triggered for all the items available in the app it will not get executed for any new item added to the app. While applying this trigger following things are required:

  • Create the template workflow.
  • Select option "Run only once for an app" from trigger setting.
  • Publish the workflow. Workflow will get triggered for all the items in an the app.
  • If the workflow is saved as draft, publish or start the workflow to make it active.


When to use this trigger ?


While running campaigns it is required to send emails to all the leads and using this trigger sending email to all leads is possible. Say you have contact app and you want to send email to all the contacts present in the app and for that create workflow, use filter if required, save and publish the workflow. 


4. Triggers every time the app item is changed:


While using this trigger the workflow gets executed  every time any change is made to any item of an app. Just create the workflow, use filters as per your requirement and get it published. The Workflow will get executed on every update made on the item. While applying this trigger following things are required:

  • Create the template workflow.
  • Select option "Recurring, every time an app item is changed" from trigger setting.
  • Save & Publish the workflow. Workflow will get triggered for all the items in an the app.
  • If the workflow is saved as draft, publish or start the workflow to make it active.
